Instructional Technology & Designer

Position Summary
The Instructional Design/Technology position plays a key role in supporting the college’s educational mission by enabling faculty to innovate and excel in teaching across all delivery methods. This position is central to implementing distance education services, aiming to enhance both user experience and the overall teaching and learning process. This position is responsible for maintaining and ensuring effective administration of the CWC Learning Management System (LMS) and associated instructional technologies. Additionally, troubleshooting LMS issues for students and faculty is a core responsibility, all while operating collaboratively within the team.

Examples of Duties

Essential Duties and Responsibilities
1. Serves as administrator of the college’s LMS to ensure smooth operation with minimal resources: configures, manages, and optimizes technical settings to ensure they are customized to meet the needs of end users across academic departments.

  • coordinates with IT, the registrar and other information systems to ensure data flow occurs in tandem with key academic calendar dates; ensures communication with and between departments regarding LMS issues.
  • Provides training in the use of institutions’ LMS to faculty, students, and staff.
  • Provides help resources for students, faculty, and staff, including instructional videos, how-to guides, and FAQs related to the usage of the learning management
    system.
  • Works directly with faculty, students, and staff to resolve technical issues: troubleshoots user issues with the LMS, monitors support requests, escalates problems as needed, and resolves cross-system issues.

2. Responsible for the implementation and maintenance of various instructional technologies:

  • collaborates with others as needed to test and evaluate new features and tools that integrate with the LMS;
  • Provides training to faculty, students, and staff on the use of educational technologies;
  • Provides help resources for students, faculty, and staff, including instructional videos, how-to guides, and FAQs related to the usage of instructional technologies.
  • Works directly with faculty, students, and staff to resolve technical issues: troubleshoots user issues with various educational technologies used in the LMS, monitors support requests, escalates problems as needed, and resolves cross-system issues.

3. Creates documentation and training materials for faculty in collaboration with the Assistant Dean of Assessment & Faculty Support.
4. Serves as administrator of ticketing systems for the department:

  • Responsible for daily administration of departmental ticketing systems, including monitoring, managing, and resolving support requests from various sources.
  • Duties involve direct user communication, creating and documenting tickets, troubleshooting, and escalating issues when necessary.
  • This includes initial support and analysis for proper classification, ticket ownership, monitoring, tracking, and communication, as well as incident resolution and closure.
  • Continuously monitor status and progress towards resolving assigned incidents and communicate progress to relevant parties.

5. Advises and assists faculty in designing online courses using instructional technologies and pedagogy, and in the use of the online LMS for all course types (synchronous and asynchronous); ensures compliance with:

  • accessibility (WCAG),
  • state and federal regulations,
  • HLC accreditation standards.

6. Creates and conducts workshops and support sessions to help instructors adapt to online learning and optimize their use of LMS tools.
7. In consultation with faculty and staff, researches and evaluates emerging learning technologies as they apply to instruction, participates in strategic planning, recommends and promotes best practices for teaching and learning in collaboration with the Assistant Dean of Assessment & Faculty Support.
8. Provides one-on-one tech support for students and faculty, ensuring LMS accessibility for those with limited internet access, optimizing LMS for low-bandwidth environments, ensuring offline learning options and troubleshooting common rural tech issues.
9. Collaborate with the Accreditation Liaison Officer to provide accurate and appropriate information for internal and external reports; and oversee the maintenance of distance learning records and files; serve as the primary contact for the college to the Wyoming Distance Education Consortium (WyDEC) and the Western Interstate Commission for Higher Education (WICHE);
10. Remain current with regional and national developments in distance education, pedagogy, and assessment and update VP for Academic Services as appropriate. Assist with training for faculty and staff on these developments through classes, workshops, and one-on-one training.
11. Evaluates, develops, and documents processes, policies, and procedures and recommends changes as needed to establish consistent use of the system; facilitates processes to best serve students in collaboration with other departments and remains current with regional and national developments in online learning.
12. Contributes to the maintenance, development, and troubleshooting of the department’s resources for teaching and learning.
13. Performs other duties assigned by the VP Academic Affairs.
14. Operates within the framework established by CWC’s policies, procedures, and practices and ensures that all activities are conducted within the established College policies, FERPA guidelines, and other applicable laws.

Typical Qualifications

Education

  • Master’s degree in Instructional Design, Instructional Technology, Education or directly related field from a regionally accredited institution of higher learning recognized by the US Department of Education.

Experience

  • Three years of experience in LMS administration, preferably in a higher education setting
  • Three years of directly related experience, preferably in a higher education setting.

Equivalency Statement

  • Equivalent combinations of education and experience from which comparable knowledge and abilities can be acquired may be considered on a case-by-case basis.

Desired Qualifications

  • Educational/instructional design knowledge and/or experience.
  • Teaching experience.

Technical Proficiency:

  • Ability to quickly learn technical procedures and functionality of new equipment and systems using documentation, training, and customer service support.

  • Knowledge of the procedures ensuring the quality of online learning courses and best practices for distance learning accreditation.
  • Understanding of accessibility standards for online content (WCAG).
  • Solid academic background in pedagogy related to education-based curriculum development and instructional design.

Director of Financial Aid

Position Summary
The Director of Financial Aid is responsible for the oversight of the daily operation of the Financial Aid Office, ensuring compliance with all Title IV federal regulations and policies and is responsible for awarding and processing all federal, state, institutional, and private donor need and merit-based financial aid.

  1. Develops and maintains policies and procedures to set up, track, process, award, disburse and maintain student aid files within institutional, state, and federal compliance and is responsible for the integration and use of electronic technology in delivering financial aid to students
  2. Develops and conducts workshops/programs to enhance financial aid awareness and provide training opportunities
  3. Oversees the Financial Aid Office operations, including supervision of staff, maintenance of the website, troubleshooting the Colleague System, etc.
  4. Maintains a thorough working knowledge of Title IV Federal regulations and maintains and reconciles fiscal records and accounts for all federal, state, and institutional financial aid funds and is responsible for the completion and submission of the Federal Pell Payment Report, FISAP, Enrollment Verification Reports, Title IV Program Participation Agreement, and other required reporting
  5. Coordinates with the CWC Scholarship Committee to develop, monitor and maintain the institutional scholarship programs.
  6. Coordinates with the Admissions Office to assist in the implementation of the CWC Marketing and Recruitment plan
  7. Develops, monitors and maintains the department’s operating budget
  8. Represents the institution as a member of professional associations.
